What an AI automation agency builds, with worked examples

    Short answer

An AI automation agency designs, builds and looks after workflows that connect your business tools and use AI models for the steps that need reading or judgement, such as summarising, classifying or enriching. Common builds are a weekly reporting digest, support and feedback triage, and lead enrichment and routing, usually in n8n, Make or Zapier. Choose one on similar work it can show running.

What does an AI automation agency do?

An AI automation agency designs, builds and maintains automated workflows between the tools a business already uses, with AI models handling the steps that need reading or judgement. The model is the small part. Most of the work is mapping the process as it really runs, getting access to each system, deciding what happens when a step fails, and keeping the build working when a tool changes.

The jobs buyers ask for are remarkably consistent: a weekly report that writes itself, support tickets and customer feedback sorted and routed, new leads researched and sent to the right person, and operations chores such as copying data between systems, filling CRM fields and chasing missing information. Most are built in n8n, Make or Zapier, with a model from OpenAI, Anthropic or Google called at the steps that need it.

How a good automation engagement runs
    1. 1

      Map the real process

Watch how the work is done today, step by step, including the exceptions people handle without thinking.

    2. 2

      Agree the measure

Hours saved, speed of reply or errors avoided, written down before anything is built.

    3. 3

      Build in your accounts

The workflow lives in your n8n, Make or Zapier workspace, with your own logins to each tool.

    4. 4

      Test on real data

Run it alongside the manual process and have a person compare the two until they agree.

    5. 5

      Monitor and maintain

Alerts on failed runs, a log of every run, and fixes when a tool changes its connection.

Which AI automation agency can automate reporting and support workflows?

Any AI automation agency that has built and maintained workflows in n8n, Make or Zapier can automate reporting and support triage; the one to hire can show you a similar build running, explain how it fails safely and tie it to a number you already track. We build both for the businesses whose marketing we run, as an add-on to that service. Here is how each build works.

Worked build one: a weekly marketing reporting digest
    1. 1

      Trigger early on Monday

A schedule in n8n, Make or Zapier starts the run before the team is at work.

    2. 2

      Pull the numbers

It fetches last week from GA4, Google Ads, Meta Ads and the CRM or shop, such as HubSpot or Shopify.

    3. 3

      Do the maths in code

It works out spend, leads, sales and cost per result against the week before and against target.

    4. 4

      Let the model write

A model turns those figures into five plain sentences: what moved, the likely reason and what to check.

    5. 5

      Check and post

Every figure in the summary is compared with the pulled data before it posts to Slack or email, with a link to the Looker Studio dashboard.

The design choice that makes this trustworthy is the split between the fourth and fifth steps. Code does the arithmetic, the model only writes the words, and a check refuses to post a summary whose figures do not match the data. A digest that is wrong once gets ignored for good.

Worked build two: support and feedback triage
    1. 1

      Collect everything

New tickets from Zendesk, Help Scout, Intercom or Gorgias, plus new reviews and survey answers, arrive in one workflow.

    2. 2

      Label each one

A model tags topic, urgency, sentiment and product area, choosing only from a fixed list you control.

    3. 3

      Route it

Urgent and angry go to a named person in Slack at once, billing goes to finance, and bug reports become tickets in Jira or Linear.

    4. 4

      Draft, never send

For common questions the model drafts a reply for an agent to edit; a person sends anything to an upset customer.

    5. 5

      Digest the themes

Each week, the counts by topic and a few quotes go to product and marketing, so the same complaint stops being news.

The weekly theme digest is often worth more than the routing. Marketing hears the objections customers raise in their own words, and product sees which problem is growing before it shows up in churn.

Worked build three: lead enrichment and routing
    1. 1

      Catch the lead

A webhook fires the moment someone fills in a Meta or LinkedIn lead form, or the form on your site.

    2. 2

      Enrich it

The workflow adds company, size, industry and the person's role from a data source such as Apollo.

    3. 3

      Qualify it

A model compares the lead with your written ideal customer and records a fit rating and the reason.

    4. 4

      Route it

The record goes into the CRM without duplicates, an owner is assigned, and strong fits alert that owner in Slack.

    5. 5

      Flag the doubtful

Leads the workflow cannot enrich with confidence go to a review queue instead of into the CRM half-finished.

This is close to what Jakub built for a global technology platform before he founded the company, when its Meta campaigns started producing leads faster than the team could research them. Follow-up went from one to three days or more down to the same day. The same pattern, pointed at outbound prospecting, runs every morning for Allegiance Industries, where the client estimates the system saves $9,000 to $10,000 a year.[2][3][4]

    1,600+

    Inbound lead automation

1,600+ leads processed in the peak quarter; follow-up went from 1 to 3+ days to the same day.

Global technology platform (anonymised), in the same engagement as the paid media result: lead capture, enrichment and CRM entry automated. Delivered by Jakub as a freelance consultant before or while founding AfM.

    How do you choose one?

Choose an AI automation agency on evidence: a workflow it built that resembles yours, a clear answer to what happens when a step fails, a named person who maintains it, and a build plan tied to a number you already track. Price matters less than those four, because a cheap build that breaks quietly costs more than it saves.

Put the same questions to every agency on your shortlist:

    • Can I see a workflow like mine running, with its run history?
    • Which platform will you use, n8n, Make or Zapier, and why that one for my volume and data?
    • What happens when a step fails, and who hears about it?
    • How is the AI's output checked, and how often?
    • What will it cost each month to run, split into the platform plan and model usage?
    • If we stop working together, what do we keep?

We are the third kind in that table. We run marketing for ecommerce, SaaS and B2B service businesses, and build custom automations such as reporting digests, support triage and lead routing as an add-on for the businesses whose marketing we run. If you are still weighing the platforms, our page on n8n, Make and Zapier compares them, and what AI automation is covers which processes to automate first.

    What we do

We run your marketing for you and make it pay for itself.

    • First comes a free written breakdown: we look at your site and any numbers you choose to share, with no logins, and show you where the money leaks and the first thing we would fix.
    • Then we fix and run the connected commercial journey: the work that earns attention, the pages that turn it into a lead or sale, and the follow-up that creates the next valuable conversion.
    • Everything is actively managed and improved, with a weekly report showing what changed and what it made, and you approve everything before it goes out.
    • Rolling monthly. No lock-in, cancel any time.

    What it is not

    • Not a single-channel agency: we do whatever makes you money next, not ads forever or SEO forever.
    • Not a junior team on a six-month lock-in: you work with Jakub directly, rolling monthly.
    • Not AI left to run on its own: every piece is reviewed by a person and approved by you.

We also build custom automations, such as reporting digests, lead enrichment and routing, and support triage in tools like n8n, Make and Zapier. They are an add-on to the managed service, not a separate offer.

    More questions

n8n, Make or Zapier: which should an agency build on?

It depends on your volume, your data and who will maintain it. Zapier is the quickest for simple jobs and easy for a non-technical team to follow, Make handles branching workflows visually, and n8n suits heavier or more technical work and can be hosted on your own servers when data must stay in-house. A good agency explains its choice in those terms rather than using one platform for everything.

Can support replies be fully automated?

Simple, factual replies such as order status or opening hours can be, once the drafts have been checked for a while. Anything involving an upset customer, a refund or a judgement call should stay with a person, with the model drafting and the person deciding.
